Capital equipment is approved by a committee: what the internal champion needs to get it through

Machinery has a wide buying group, and a long wait between first interest and purchase order.

  1. 1Industry sources describe an executive sponsor with budget authority (a VP, plant manager, CFO or general manager) who asks about strategic fit, return and the supplier’s long-term viability.
  2. 2Beside the sponsor sit production, floor staff and maintenance: the people who live with the purchase after everyone else has moved on. The plant manager usually has an opinion before formally joining the process.
  3. 3The same sources put the average cycle for industrial equipment at 6 to 12 months, closer to a year once the buyer’s research before first contact is counted, and 12 to 24 months for complex systems above US$10 million, with each added decision-maker extending it. They are sector blogs without a published methodology, so read these as an order of magnitude, not a statistic.
  • A committee, and increasingly a loose network of influencers rather than a structured vote.
  • One thing we do not know: who signs the purchase order at a small or mid-size manufacturer. The obvious answer, the owner, is plausible and we found no source for it, so nothing on this page depends on it.
  • Our reading: price is rarely what stalls it. Someone inside the plant has to defend the spend in a meeting where most people do not understand the machine, and the material that unlocks it is what that person can take into the room: payback logic, a comparison, a specification that survives a CFO.

Launch marketing (a new-product announcement, a trade-show video) aimed at a buyer who is four months into a ten-month approval. The mismatch is timing, not message. Our reading, without a study behind it.

  • Marketing operations

A pipeline that shows where each account stands in its approval.

  • Brand and content

Content for the months between the trade show and the purchase order, not only for launch day.

  • Digital presence

Capability pages and campaigns sized for a long cycle and a committee rather than a single click.

  • Strategy

Positioning and material for the internal champion: the arguments that have to survive a capital approval meeting.

For machinery, the US and Brazil axis is concrete right now. Brazilian machinery and equipment exports to the US reached about US$3.2 billion in 2025, according to ABIMAQ. The July 2026 Section 301 tariff does not name machinery: it puts 25% on all imports from Brazil, with listed exemptions, and goods subject to a Section 232 tariff are exempt from it. In December 2025, speaking of the 2025 tariff, ABIMAQ said that companies that lost US sales had not recovered them. The current rates, including a reduced Section 232 band for certain machinery, are on the dated trade page.
